Meeting Hostess Responsibilities

Duties of the Hostess Sorority for the Months of
October, December, February, April, and June
(months in which a luncheon is planned)

There will be two hostess sororities at each luncheon meeting.

Duties of Sorority #1:

  • Provide one hostess to greet members and guests at the door beginning at 11:45 A.M.
  • Invite her chapter alumnae president and collegiate president to attend luncheon and sit at the head table — (space permitting).
  • Arrange for an attending member (preferably the collegiate president or representative) to give the Invocation or Grace.
  • Prepare two (2) sets of numbered cards for the door prize drawing.
  • Prepare place cards for the head table. (Secure this information in coordination with the Registrar.
  • Provide the decorations: specifically, centerpieces for each table and for the head table. (Contact the 2nd Vice President who coordinates the colors and number of tables with the restaurant.) Please keep decorations simple. This cost will not be reimbursed by Panhellenic but shall be borne by the hostess sorority.

 

Duties of Sorority #2:

  • Provide one hostess to greet members and guests at the door beginning at 11:45 A.M.
  • Invite her chapter alumnae president and collegiate president to attend luncheon and sit at the head table — (space permitting).
  • Arrange for an attending member (consider a collegiate president or representative) to give the Pledge of Allegiance to the Flag.
  • Provide a basket or bowl for the numbered cards for the door prize drawing.
  • Provide two door prizes, not to exceed $10.00 total cost. Door prizes are to be gift wrapped (if appropriate). The cost of the door prizes will not be reimbursed by Panhellenic but shall be borne by the hostess sorority.

Duties of the Hostess Sorority for the Months of
August, September, November, January, March, May
(months when there is only a board meeting or executive meeting
held in a Board Member's home or a place of her choice
if she is unable to have the meeting in her home )

Duties of Sorority #1:

  • Provides the place for the Board Meeting — her home, a condominium or town house meeting room, or a restaurant of her choice with a quiet meeting area.
  • Sends a notice to all Board members at least two weeks before the meeting, giving address and telephone number and a simple map if the location is difficult to find. Giving a map reference and/or map enlargement is very helpful.
  • Provides coffee, tea, juice, etc., cups and plates and silverware if needed, coordinating this with hostess sorority #2. She provide part of the refreshments if she so desires.

Duties of Sorority #2:

  • Provides the refreshments, except for the beverages, coordinating this with hostess sorority #1. Appropriate refreshments include rolls, donuts, croissants, bagels, and fruit, keeping it simple. This is not intended to be a brunch.
  • Arrives early before the Board Meeting if so desired by hostess sorority #1, to assist with setting up chairs, preparing the serving table, etc.

Hostesses of Board Meetings in the months without luncheons
are urged to keep refreshments simple and inexpensive,
easily enjoyed during the meeting.
